FSG Recruitment is recruiting for an Administrator on behalf of a client based in Aberdeen City Centre. As an Administrator, you would be employed on a Permanent, Full-time basis and provide and maintain high levels of customer service for the company and its clients.

Salary: Approx. £21,000 – £22,000 per annum

Responsibilities:

  • Operate the switchboard efficiently and professionally
  • Greet all visitors and guests professionally and competently
  • Handle customer service issues in a professional manner
  • Ensure all new clients are welcomed effectively and professionally
  • Liaise with clients to maintain accurate itinerary information
  • Ensure offices are prepared for new clients and returned after vacating
  • Ensure meeting rooms are returned ready for re-use
  • Organise meeting room bookings, assess needs, and facilitate client requirements
  • Report to the Assistant Manager regarding all matters of customer service
  • Clearly follow all client instructions relating to their specific requirements
  • Prepare monthly & casual invoices and other duties
  • Attain competency in the administration and understanding of IT including phones and internet
  • Provide sickness/holiday relief at other company properties, when required
  • Ensure that all health and safety legislation is adhered to and implemented
  • Provide a consistently high standard of administrative support to clients and management
  • Be proficient with all Microsoft Office packages and have confidence using a variety of software programs/apps used for daily operations
  • Attain competency to instruct clients on all company services and facilities
  • Handle basic sales queries and follow company procedure
  • Raise work orders where relevant
  • Raise purchase orders and order supplies (cleaning/stationery/maintenance etc) when needed
  • Be responsible for general housekeeping and daily quality checks
  • Check continually that all standards are met and exceeded
  • Professionally represent the company and our clients at all times
  • Carry out any additional tasks as requested by your supervisors

Requirements:

  • Skilled in time management and organization
  • Fantastic communication skills, both written and verbal
  • Computer literate
  • Previous experience in an administration/reception role would be desirable
